A reimbursement is not wages. It is added to what she takes home and attracts no CPF, which is precisely the bit that goes wrong when a taxi fare is paid back out of the till and remembered afterwards.4

It is an expense in your accounting, in the right category. Approved claims post themselves when the payroll run is finalised, so money you handed back is in your P&L rather than quietly missing from it.

How much does it cost, and is HR separate from payroll?

They are the same plan. Both are part of Pro 365: S$49 a month, or S$365 a year paid yearly, which works out about S$30 a month. That covers payroll, CPF, payslips and IR8A as well as everything on this page: leave, attendance, claims, documents and the staff portal, for your whole team with no per-head fee, plus every other app.kevinchia.sg module. Do I pay per employee for the portal?

No. Staff portal logins are unlimited at no extra cost. A business with two people can give both a login, and one with thirty can give it to all thirty.

My staff will not download another app. Will they use this?

There is nothing to download and no password to remember. It opens in the browser on their phone, they sign in with a six-digit code sent to their email, and it sits on their home screen if they want it to. No app store, no company email address, no per-person licence, and a part-timer can be set up in about two minutes: add their email and send them the link.

Does the leave module know the Employment Act?

Yes. Annual leave entitlement follows the statutory increment by year of service for staff covered by Part IV, with pro-rating for someone who joined part-way through the year. Singapore public holidays are built in, including the rule that a holiday landing on a Sunday makes the following Monday a holiday, and they are left out of the days counted against a leave request.

How does the geofence work, and do staff have to take a selfie?

You set a location and a radius, and clocking in outside it is refused with the distance shown. The selfie is off by default and is yours to switch on if you want it. We did not think it should be the assumption.

What happens to an approved claim?

It becomes a reimbursement line on the next payslip, added to take-home pay rather than to gross so it correctly attracts no CPF, or you mark it paid directly if you have already transferred the money. Either way it posts to your P&L as an expense in its own category, with the receipt attached to the claim.

Can somebody work at two businesses that both use app.kevinchia.sg?

Yes. If both employers saved the same email for them, one sign-in shows both, and they pick which company to open. Each employer sees only their own records, and neither can see the other’s.

What documents can it produce?

An employment contract and an MOM key employment terms document, filled in from the employee record, as a Word file you can edit and a PDF you can sign. Both are kept on the employee’s record with the issue and expiry dates, and work passes and certificates are flagged before they lapse rather than after.
