Why Your Invoice Should Have a PayNow QR (And How to Make It Smart)

Every invoice you send is a moment of friction. Your client has to find your UEN, key in the amount, add a reference number, and hope they get it right. Sometimes they pay the full amount when there is already a partial payment. Sometimes they just... forget.

There is a better way, and it costs you nothing extra.

The Case Against Stripe (For Local Payments)

Stripe is excellent. If you are selling to overseas customers or need card payments, it is the right tool. But for local Singapore-to-Singapore invoices, you are paying 3.4% plus a fixed fee on every transaction for a problem PayNow already solves for free.

On a $1,000 invoice that is $34 gone. On a $5,000 project, $170. For a small business watching its margins, that adds up fast across a year of invoices.

PayNow transfers are instant, free to receive, and every Singapore bank supports them. The only reason clients do not use it more is friction — they have to manually key everything in.

A QR code removes that friction entirely.

Not All PayNow QRs Are Equal

Slapping a static PayNow QR on your invoice is better than nothing, but it has problems. A static QR just encodes your UEN. The client still has to type in the amount. And they have no idea what reference to put in, so your bank statement ends up full of transfers labelled "payment" with no way to match them to invoices.

A smart PayNow QR encodes three things:

Your UEN, so the client does not have to find it. The exact balance due, so partial payments are handled correctly even when there have been prior payments. And your invoice number as the payment reference, so when the transfer hits your bank it is already tagged and traceable.

That last part is the one most people overlook. When every payment arrives with the invoice number attached, reconciliation goes from a Friday afternoon task to a two-minute scan.

What This Looks Like in Practice

We built this into app.kevinchia.sg invoicing from the start because we needed it for our own business. Say you have a $1,500 project invoice with a 50% deposit already paid. The QR on that invoice encodes exactly $750 — the remaining balance — and tags it with the invoice number automatically. Client scans, confirms, done.

No back and forth about how much to pay. No chasing for a reference number. No manual matching at the end of the month.

It is a small thing that quietly removes a surprising amount of admin.

The Margin Argument

For any Singapore business doing mostly local invoicing, switching from Stripe to PayNow QR is one of the easiest margin improvements available. The fee saved on a $2,000 invoice is about $68. On ten invoices a month that is close to $800 a year back in your pocket with zero change to how your clients experience paying you — arguably a better experience since it is instant.

And unlike a lot of "save money" advice, this one has no downsides for local payments. PayNow is faster than a card payment. Funds settle immediately. There are no chargebacks.

How app.kevinchia.sg Handles This

Every invoice generated on app.kevinchia.sg includes a PayNow QR that dynamically encodes your UEN, the current balance due, and the invoice number as reference. It updates automatically if you record a partial payment — the QR on a partially paid invoice shows the remaining balance, not the original total.

You also get a full payment history on each invoice, so you and your client are always looking at the same picture.

FAQ

Does the QR work with all Singapore banks?

Yes. PayNow QR is a universal standard supported by all major banks in Singapore including DBS, OCBC, UOB, Maybank, Standard Chartered, HSBC, and all the digital banks. Any bank app with PayNow can scan it.

What if my client prefers bank transfer?

They can still do a manual transfer. The QR is an option, not a requirement. But once clients try scanning it once, most never go back to manual entry.

Does it handle GST-inclusive amounts correctly?

Yes. The QR encodes the total balance due which includes any GST already applied on the invoice.

What if my client has already made a partial payment?

The QR updates to reflect the remaining balance, not the original invoice total. So if $500 was already paid on a $1,000 invoice, the QR encodes $500.

Can I use this if I am not GST-registered?

Absolutely. GST registration has no bearing on whether you can use PayNow QR invoicing. It works for any Singapore business with a UEN.
